Actions on Memberships

Renew, modify, suspend, freeze, or delete the client’s membership by following the steps outlined below.

Modifying a Client Membership

  1. From the main menu, click on “Memberships“.
  2. Click on “Manage Memberships“.
  3. Click on the membership you want to edit.
  4. Click the “Edit” button at the top of the membership details.
  5. Make the necessary changes to the description or the expiration date.
  6. Click the “Save” button at the top right of the screen.

Suspending/ Canceling a Client Membership

  1. From the main menu, click on “Memberships“.
  2. Click on “Manage Memberships“.
  3. Click on the membership you want to deactivate/ reactivate.
  4. If the membership is active and you wish to deactivate it, you can do so by clicking on the “Suspend” button at the top of the membership details.
  5. If the membership is already deactivated and you wish to reactivate it, you can do so by clicking on the “Undo Suspension” button at the top of the membership details.
  • The system will display a message indicating the successful deactivation/ reactivation of the membership.

Deleting a Client Membership

  1. From the main menu, click on “Memberships“.
  2. Click on “Manage Memberships“.
  3. Click on the membership you wish to delete.
  4. Click on the “Delete” button at the top of the membership details.
  5. Click on the “Yes” button when the deletion confirmation message appears.
  • Notes:
    • You can only delete a client’s membership if the membership fee has not been paid. You must also delete the unpaid invoice that the system created with the membership value manually from the “Manage Invoices” page.
    • You cannot delete a client’s membership associated with subscriptions. If you wish to delete such memberships, please delete the subscription first from “Manage Subscriptions“. For more details, please refer to the guide “Delete Subscription“.

Renewing a Client Membership

  1. From the main menu, click on “Memberships“.
  2. Click on “Manage Memberships“.
  3. Click on the membership you wish to renew.
  4. Click on the “Renew” button at the top of the membership details or the one located at the top right of the screen.
  5. Select the renewal information as follows:
    • Package: Select the desired renewal package from the dropdown menu.
      • For more details on how to add packages, please refer to the “Add a Package” guide, or you can directly add it when “Adding a New Membership“.
    • Invoice Date: Select the membership payment invoice date from the calendar.
  6. Click on the “Save” button located at the top right of the screen.

Freezing a Client Membership

  1. From the main menu, click on “Memberships“.
  2. Click on “Manage Memberships“.
  3. Click on the membership you wish to freeze.
  4. Click on the “Add Freeze Period” button at the top of the membership details.
  5. Select the start date of the membership freeze from the “Start Date” field.
  6. Select the end date of the membership freeze from the “End Date” field.
  7. Click on “Add Freeze Period to Membership” if you want to add the freeze period to the primary membership duration.
    1. Example: If your client’s membership ends on 01/06/2024 and you added a freeze period of 3 months, by activating this option the suspended 3 months will be added to the client’s membership end date, making it 01/09/2024.
    2. If you do not activate this option, the suspension period will not be added to the client’s membership.
  • Click on the “Save” button to add the freeze period to the membership.
