Adding a Journal Entry

The system allows you to manually add journal entries to record accounting transactions that are not automatically generated from other system documents (such as invoices or receipt/payment vouchers).

Before You Begin

You must have the “Add/Edit All Journals” or “Add/Edit/Delete His Own Journals” permission to perform this action.

Steps to Add a Journal Entry

  1. Navigate to the Journal Entries list.
  2. Click “Add New Entry.”
  3. Enter the entry’s basic details, such as the date and description.
  4. Add the entry’s line items (debit and credit accounts), making sure the total debit matches the total credit.
  5. Choose to save the entry as a “Draft” for later review, or save and issue it directly.
  6. Click “Save.”

After Adding the Entry

  • If saved as a draft, you can edit or issue the entry later from the Journal Entries list.
  • The entry’s “Activity Log” tab shows an entry in the format: “[User Name] Added Journal Entry #[JRNxxx],” along with the date, time, and user avatar.

Notes

  • The entry cannot be saved unless the total debit equals the total credit.
