Linking Your Salla Store to the System

Quick Overview

The Salla app lets you link your online store on the Salla platform to your Daftra account, so the orders fulfilled in your store reach Daftra automatically as sales invoices, the clients and products that don’t exist are created, and returns are recorded. This article explains installing the app and activating it from inside Daftra step by step, and what happens after linking.

Before You Start

  • You must have the permission Edit General Settings; it is required to open the Apps Manager and the External Apps Manager.
  • You must have an active store on the Salla platform, and the login details of its control panel; because you will need to approve the linking.
  • The Salla app appears in the apps marketplace according to your account’s country and its business field, so if it doesn’t appear to you, contact technical support.
  • Set the name and rate of VAT in the Salla store before linking; because invoices reach Daftra with the tax as defined in Salla.
  • If your store was previously linked to Daftra with the old integration method, delete the Salla Integration key from API Keys first, as in the conflict with an existing integration message.

How to Access

You can reach the Salla app in one of the following ways:

  • From the main menu: click Apps Manager at the bottom of the apps list, then click the External Apps Manager button.
  • Directly from the link: Apps Manager.
  • From the Apps Manager by clicking the Go to the Apps Marketplace button at the top of the apps manager.
  • After activating the app, the Salla card appears in Sales Settings under the Integration with Other Systems section.

Activation and Linking Steps

  1. Open the Apps Manager.
  2. Search for the Salla app in the Most Installed Apps section, or click Go to the Apps Marketplace and search for it there.
  3. Click the app card to view the details, then click Install.
  4. If the Salla Settings page appears, complete its data then click Activate. See Buttons and Settings Explained.
  5. You move to the linking confirmation page, so confirm linking your account to the app, and complete the steps of logging in to your Salla store and approving the linking if asked.
  6. You return automatically to Daftra, and the Salla app appears in the My External Apps section with the status Active, with the message Application activated successfully.
  7. After completing the linking for the first time, we recommend doing a manual sync to transfer the existing products and orders between the two systems, as in Manually Syncing Orders from Salla to Daftra.

🛈

Note: If the app is paid and its trial period has ended or it hasn’t been subscribed to yet, you go to the payment page to complete the purchase before activation.

And for the cash on delivery fees coming with the orders, choose the service used in the Cash on Delivery Fee field from Shipping Options; and if you don’t specify it, the system creates a service with the code COD automatically.

How Syncing Works After Linking

Orders and Invoices

Case What Happens in Daftra
An order whose status is Completed in Salla A sales invoice is created with the same lines, total, tax, shipping, and discounts. And orders with any other status don’t arrive.
An order return A refund invoice is created automatically.
A cash on delivery order The cash on delivery fee is added as a taxable service line.
An order that didn’t arrive Make sure its status is Completed, then use the manual sync. See this question.

Clients

  • If the client is registered in Daftra, the invoice is added to their account.
  • If they aren’t registered, a new client is created automatically.
  • Visitor orders are recorded on the Default Client.

Products

  • If the order’s product doesn’t exist in Daftra, it is created first with the quantity available in Salla through a stock addition requisition to the default warehouse, then the invoice is issued.
  • The custom fields of Salla products aren’t transferred, and the basic fields such as the name, price, and quantity are transferred.
  • For products with variants (sizes and colors), see Syncing Products with Variants in Salla with Daftra.

Following the Sync

  • Follow all the synced orders and their status from the Salla Invoices Sync Log. The same order number may appear more than once if it has more than one document, such as an invoice and a return.
  • In Manage Invoices you can view the Salla invoices only by choosing Salla from the Source filter.

Stopping or Canceling the Integration

The Action What Happens
Deactivate Receiving orders and sending updates stops, and the Salla card disappears from the sales settings, while the app and its settings remain. The message Application deactivated successfully appears, and you can reactivate it at any time.
Uninstall The app and its settings are deleted from your account. The message Application uninstalled successfully appears.

🛈

Note: The invoices, clients, and products that were created from Salla stay in Daftra after deactivating the app or uninstalling it.

The Effect on the System

  • Sales: sales invoices and refund invoices are created with their accounting entries like any invoice you create manually.
  • Inventory: the orders’ quantities are deducted from the default warehouse, and the quantities of new products and returns are added to it.
  • Clients: new clients are created, and the client’s balance increases by the invoice value.
  • Taxes: the VAT is recorded as it is in Salla, and appears in the tax reports.

Important Notes

  • Set the default client, warehouse, and branch before starting the sync; since all the operations coming from Salla depend on them.
  • Don’t delete or edit the invoices coming from Salla manually except when necessary, so the data doesn’t differ between the two systems.
  • If an order is delayed, review its status in Salla and then the sync log before contacting technical support.
