Deleting a Print Template
Contents
Overview
Printable templates are the designs used to print documents such as income vouchers (incomes), expenses, client payments and requisitions. This article explains how to delete a template you no longer need, using Incomes templates as an example. The same steps apply to the other template types.
Before you start
- You need the Edit General Settings permission.
- You can delete only the templates you added. Ready-made system templates can’t be deleted.
- Deleting is permanent, and the template can’t be recovered afterwards. If you only want to hide it temporarily, deactivate it instead.
How to access
- From the main menu: Templates, then Printable Templates, then click the Incomes card.
- Directly from the link: Incomes templates.
For other types, choose their card on the Printable Templates page, such as: Expenses, Clients Payments, Suppliers Payments, Requisitions, Stocktakings, Journals, Clients and Product Label.
Steps
- Open Incomes templates.
- Find the template in the Active section or the Available (Not Active) section.
- Click the Delete button (the red button with the trash icon) on the template card.
- A Confirmation Message page appears asking Are you sure you want to delete?. Click Yes.
- The template is deleted and you return to the incomes templates list.
🛈
Note: If the Delete button doesn’t appear on the template, it’s a ready-made system template or an edited copy of one. See Cases that affect deletion.

Cases that affect deletion
| Template type | Can it be deleted? |
|---|---|
| A template you added (new or cloned) | Yes, with the Delete button. |
| A ready-made system template | No. It has no Delete button. You can set another template as default to use instead. |
| A ready-made template you edited | It shows the restore button instead of Delete. Restoring removes your changes and returns the ready-made template to its original design. |
| The default template | Yes. After that, the system uses the other available templates, so set another template as default before deleting it. |
Alternatives to deleting
- Deactivate: click Deactivate on the template card. It moves to the Available (Not Active) section and no longer appears in the print options. You can bring it back with Activate at any time.
- Change the default template: click Set as default on another template, and it’s used instead of the current one.
- Edit: if you only want to change how the template looks, use Edit instead of deleting it.
Effect on the system
- No existing income voucher or document is affected. Templates are only used at print time, and you can print old documents with any available template.
- The deleted template disappears from the print options for all users.
Important notes
- If you’re not sure whether you still need the template, deactivate it instead of deleting it.
- Before deleting the default template, set another template as default so that document printing doesn’t change unexpectedly.
