Set Up Auto Numbering for Lease Contracts
The system allows you to control the auto numbering settings and format for lease contracts, ensuring consistent and organized numbering for all contracts created in the system.
Steps to Set Up Auto Numbering for Lease Contracts
- From the main menu, click on “Settings“.
- Click on “Auto Numbering Settings“.
- Select “Lease Contracts” from the side menu.
- Configure the required settings.
- Click “Save” to complete the edit, or click “Cancel” to go back without saving.
Available Settings
- Next Number: set the number that will be assigned to the next lease contract. The system continues numbering automatically from this number.
- Numbering Format: select the number generation format from the available options, such as numeric digits, hexadecimal, letters, or a combination.
- Number of Digits or Characters: set the number of digits for the sequential number. If the number is less than the specified count, zeros are added on the left. Example: if the count is 6 and the current number is 3, it will appear as 000003.
- Unique: enable this option to ensure that every number in the sequence is unique and not duplicated.
- Prefix: enable this option to add a prefix before the lease contract number to distinguish it. The prefix can be fixed such as LC-001 or variable based on the year or month.
If the prefix option is enabled, additional settings appear:
- Customize Prefix: enter the fixed prefix text or variable format. Click the Variables Guide button to view all available variables such as %Y for the full year and %m for the month number.
- Prefix Change Options: define how the system handles numbering when the prefix changes:
- Continue from last number: numbering continues sequentially from the last used number regardless of prefix changes.
- Separate numbers per prefix: each prefix has its own independent numbering sequence.
- Reset numbering on change: numbering resets to 1 every time the prefix changes.
