Rental Units Income and Expenses Report

The system allows you to view a comprehensive report of rental unit income and expenses over a specified time period, with grouping and filtering options to get an accurate financial overview for each unit or unit type.

Steps to View the Rental Units Income and Expenses Report

  • From the main menu, click on “Reports”.
  • Click on “Rental Reports“.
  • Click on “Rental Units Income and Expenses“.
  • Set the desired filter criteria and click “View Report“.

Grouping and Filters Options

Grouping Options

You can group the report by any of the following options as quick actions:

  • Unit Type
  • Unit Name
  • Daily – Start Date
  • Weekly – Start Date
  • Monthly – Start Date
  • Daily – End Date
  • Weekly – End Date
  • Monthly – End Date

Filter Options

  • Unit Type: select from active and inactive unit types. (Optional)
  • Units: select from active and inactive units. (Optional)
  • Start Date From: set the start of the start date range. (Optional)
  • Start Date To: set the end of the start date range. (Optional)
  • End Date From: set the start of the end date range. (Optional)
  • End Date To: set the end of the end date range. (Optional)
  • Currency: select how amounts are displayed from the following options: (Optional)
    • Convert All Transactions to Local Currency: displays all amounts in the system currency.
    • All Transactions Displayed Separately: displays amounts grouped by each currency.
    • Other currencies used in invoices and expenses to filter by.
  • Branch: select a specific branch or leave set to All. Default: all branches. This filter only appears if the branches plugin is activated in the system. (Optional)

To clear all filters click “Reset Filter“.

Data Displayed in the Report

The report opens in a new page and includes the account information at the top such as the company logo, name, address, city, postal code, commercial registration number, and tax ID if available, along with a chart summarizing income and expenses based on the selected grouping option.

The report displays the following columns for each record:

  • Name: the unit type and unit name.
  • Type: Rental or Expense.
  • Date: the invoice date if the transaction is an invoice, or the expense date if it is an expense.
  • Description:
    • For expenses: the expense number and any additional description entered by the user.
    • For invoices: the reservation order number as a clickable link to navigate to its view page.
  • Amount:
    • Rental invoices: the net amount (invoice total minus taxes) displayed as a positive amount.
    • Rental refunds: the net amount displayed as a negative amount.
    • Credit notes: the net amount displayed as a negative amount.
    • Expenses: displayed as a negative amount.

A subtotal appears at the end of each group, and a grand total appears at the end of the report calculated as: total rental invoices − total refunds − total credit notes − total expenses.

Export and Print Options

  • Print: click the “Print” button to print the report directly.
  • Export: click the “Export” button to export the report data. The following formats are available:
    • CSV
    • Excel
    • PDF
    • PDF without chart
