View Purchases by Supplier Report

Steps to View the Report

  1. Click the Reports menu.
  2. Click Purchases Reports.
  3. Select Purchases by Supplier Report.

Before displaying the report, you can apply several filters:

  • Date Range:
    Select the time period for which you want to display purchases.

    • Last Week: The past seven days.
    • Last Month: The past thirty days.
    • Month to Date: From the beginning of the current month until today.
    • Last Year: The past twelve months.
    • Year to Date: From the beginning of the current year until today.
    • Custom: Click the field and manually select the start and end dates.
  • Status:
    Filter results based on the purchase invoice status:

    • All: Displays all invoices regardless of status.
    • Paid: Fully paid invoices.
    • Partially Paid: Invoices that have been partially paid.
    • Unpaid: Invoices that have not been paid.
    • Overdue: Invoices that have passed their due date without payment.
    • Refunded: Invoices that have been returned.
  • Supplier:
    Select a specific supplier to display only their purchases.
    You can search by name, email, or phone number.
    If no supplier is selected, the report will include purchases from all suppliers.

  • Invoiced By:
    Select one or more staff members to display purchase invoices created by them.
    You can search by Name, Code, E-mail, Department, Branch, Country, etc.
    If no staff member is selected, the report will include invoices created by all staff members.

  • Currency:
    Select the currency used to display the report.

  • Branch:
    Select one or more branches to display purchases related to those branches only.
    If no branch is selected, the report will include all branches.

After adjusting the filters, click Show Report to update the results.

You can switch between:

  • Summary View: Displays totals for each supplier only.
  • Details View: Displays each purchase invoice separately within the supplier group.

You can also change the grouping method using the dropdown menu above the table. The available grouping options are:

  • Supplier
  • Daily
  • Weekly
  • Monthly
  • Yearly
  • Staff

You can print the report by clicking Print, or export it by clicking Export Options to:

  • CSV
  • PDF
  • PDF without chart

Report Columns

The table displays purchase invoices grouped under each supplier. When Details View is selected, each invoice appears individually within its supplier group. The columns are organized as follows:

  • Number: The purchase invoice number in the system.
  • Date: The date the purchase invoice was created.
  • Staff: The code and name of the staff member who created the invoice.
  • Paid: The amount that has been paid from the invoice value in the selected currency.
  • Unpaid: The remaining unpaid amount of the invoice in the selected currency.
  • Refunded: The value returned from this invoice in the selected currency.
  • Total: The total value of the purchase invoice in the selected currency.

At the end of each supplier section, a Total Row appears summarizing the values of all invoices for that supplier within the selected period.

At the bottom of the table, a Total Row displays the combined totals for all suppliers across the entire period.
