The Employee Loans Report displays all loans granted to employees, with details for each loan including the number of installments, amounts paid, remaining balance, and the next payment date. It is used to track loan repayment status, verify outstanding balances for each employee, and review repayment plans and upcoming payment dates.

How to View the Report

  • Click on “Reports” from the sidebar menu.
  • Navigate to the “Employee Reports” section.
  • Select “Employee Loans”.
  • You can apply several filters before viewing the report:
    • Application Date From / Application Date To: Filter loans by the date the loan request was  submitted. If no date is specified, the system will display all loans regardless of submission date.
    • Next Installment From / Next Installment To: Filter loans by the date of the next unpaid installment. Useful for identifying loans due within a specific time period.
    • Status: Filter loans by repayment status:
      • Completed: Loans where all installments have been fully paid.
      • Overdue: Loans where one or more installments have missed their due date.
      • Incomplete: Loans that are still being repaid and not yet completed.
      • If no status is selected, the system will display all statuses.
    • Period of Installments: Filter loans by repayment frequency:
      • Monthly: Loans repaid in monthly installments.
      • Quarterly: Loans repaid in installments every three months.
      • Yearly: Loans repaid in annual installments.
      • If no rate is selected, the system will display all repayment rates.
    • Employee: Search for one or more employees by name, code, email, department, or branch. If no employee is selected, the system will display all employees.
    • Employee Status: Filter results by employee status (Active / Inactive). If no status is selected, the system will display all employees.
    • Department: Filter results to display employees of a specific department only. If no department is selected, the system will display all departments.
    • Designation: Filter results to display employees with a specific designation only. If no designation is selected, the system will display all designations.
    • Employment Level: Filter results by the employee’s employment level. If no level is selected, the system will display all employment levels.
    • Employment Type: Filter results by employment type (full-time, part-time, etc.). If no type is selected, the system will display all employment types.
    • Shift: Filter results to display employees of a specific shift only. If no shift is selected, the system will display all shifts.
    • Branch: Filter results to display employees of a specific branch only. If no branch is selected, the system will display all branches.
    • Currency: Choose how currencies are displayed in the report (All to SAR / Each Separately / SAR only).
  • Click “View Report” to refresh the results, or click “Clear Filter” to return to the default settings.
  • You can export the report using the “Export” button to:
    • CSV
    • Excel
    • PDF

Display Mode

The report is available in two display modes, switchable from the top of the page:

  • Summary: Displays an aggregated summary of loan totals.
  • Details: Displays each loan independently with all installment and amount details.

Report Columns

The table displays each loan’s data across the following columns:

Employee — Employee name and code with a direct link to their profile page.

Loan Information

  • Number of Installments: The total number of installments scheduled for repaying the loan.
  • Number of Paid Installments: The number of installments that have been paid so far.
  • Application Date: The date the loan request was submitted.
  • Next Installment: The due date of the next unpaid installment.

Amounts

  • Next Installment Amount (SAR): The value of the next installment due for payment.
  • Total Installment Amount (SAR): The total amount of the loan in full.
  • Paid Amount (SAR): The total amount that has been paid so far.
  • Remaining Amount (SAR): The outstanding amount that has not yet been repaid.
