Employee Documents Details Report
About the Report
The Employee Documents Report displays all official documents uploaded for employees (such as ID cards, passports, driving licenses, and others), categorized by their status. The report features three interactive pie charts at the top illustrating the distribution of documents by type for each status, along with a detailed table below. It is used to monitor document expiration and identify documents that need renewal or uploading.
How to View the Report
- Click on “Reports” from the sidebar menu.
- Navigate to the “Employee Reports” section.
- Select “Employee Documents Details “.
- You can apply one filter before viewing the report:
- Branch: Filter results to display documents for employees of one or more branches. Multiple branches can be selected at once. If no branch is selected, the system will display documents for all branches.
- Click “Show Report” to refresh the results, or click “Clear Filter” to return to the default settings.
- You can export the report using the “Export” button to:
- CSV
- Excel
Interactive Charts
The report displays three interactive pie charts at the top, each illustrating the distribution of documents by type for a specific status:
- 🔴 Expired Documents: Documents whose expiration date has passed the current date.
- 🟡 Expiring Soon: Documents that are approaching their expiration date and will need renewal soon.
- 🟢 Valid Documents: Documents that are currently active and valid.
- ⚫ Missing Documents: Required document types that have not yet been uploaded for the employee.
Click on any slice in a chart to filter the detailed table and display only documents of that type and status.
Display Mode
The report is available in two display modes, switchable from the top of the page:
- Summary: Displays the overall charts only, without the detailed table.
- Details: Displays the charts along with the detailed table for all documents.
Detailed Table Columns
- The table displays each document’s details across the following columns:
- Employee — Employee name and code with a direct link to their profile page.
- Document Type — The classification of the document (e.g., ID Card, Passport, Driving License).
- Document Name — The specific name of the document as entered at the time of upload.
- Status — The current status of the document — Valid / Expired / Expiring Soon.
- Expiration Date — The date on which the document expires.
- Uploaded By — The name of the user who uploaded the document to the system.
- Branch — The branch the employee belongs to.
