Required Documents Compliance Report

Report Overview

The Required Documents Compliance report displays the official document status for each employee in a matrix table format, where employee names appear in rows and document types appear in columns. Each cell in the table shows the document status for a specific employee at a glance using a color-coded icon. This report is used to get a comprehensive and quick overview of how well all employees are complying with required document submissions, and to quickly identify gaps, missing documents, or expiring ones.

Steps to View the Report

  1. Click on Reports from the side menu.
  2. Navigate to the Employee Reports section.
  3. Select Required Documents Compliance.
  4. You can apply a number of filters before viewing the report:
    • Employee: Search for one or more employees to display only their rows in the table. Multiple employees can be selected. If no employee is selected, the system displays all employees.
    • Document Type: Select the types whose columns you want to display in the table. Multiple types can be selected. Available types are: National ID, Passport, Residence Permit / Visa, Driving License, Academic Certificate / Educational Qualification, Medical Fitness Certificate, Personal Photo (ID Style), Other. If no type is selected, the system displays all document types as columns.
    • Branch: Filter results to display employees from one or more branches only. Multiple branches can be selected. If no branch is selected, the system displays all branches.
  5. Click Show Report to refresh the results, or click Reset to return to the default settings.
  6. You can export the report using the Export button to:
    • CSV
    • Excel
    • PDF

Table Structure

The table displays document data in a unique matrix format:

  • Rows: Each row represents a single employee with their name and code.
  • Columns: Each column represents one type of required document.
  • Cells: Each cell displays an icon indicating the status of that document for that employee. Click on the icon to navigate directly to the document page.

Icon Key

The report displays an icon key at the top of the page. Each icon means the following:

  • Valid: The document has been uploaded and is currently active.
  • Expiring Soon: The document has been uploaded but is approaching its expiration date.
  • Expired: The document has been uploaded but its expiration date has passed.
  • Missing: The document has not yet been uploaded for this employee.

Note

This report is ideal for periodic reviews of all employees’ document compliance status, as it allows you to see all gaps at once rather than reviewing each employee individually.
