Adding an Email Template
Daftra software enables the feature of sending emails to clients, with the possibility of fully customizing the content of messages during sending and using a set of different email templates available in the software which includes messages about invoices & their statuses, appointments, online payment transactions for invoices and many others. It is also possible to fully customize the email template and save it as a pre-made template then recall it directly in the email-to-client screen.
- From the main menu, click on “Templates“.
- Click on “Email Templates“.
- A set of default templates added by the software will appear. You can either use them or add a new template with your specific data by following these steps:
- Click on “New Template“.
- A ready-made template with basic data will appear. You can edit this data, delete, or replace it with other data by following these steps:
- Type: Choose from the drop-down menu whether it’s (Paid Invoice, Unpaid Invoice, Booking, etc.).
- Selection in the “Type” field customizes the message template so it can only be invoked from the position or status corresponding to the chosen type. For example: If you choose the “Paid Invoice” type, you can invoke it from the drop-down menu when sending an email from an invoice with the “Paid” status. The template will not appear in the list when trying to send a text message from an invoice with a “Unpaid” status.
- Title: Write the template name as required.
- Subject: Write the email subject that the client will receive.
- To send the email to others besides the client, click on “CC & BCC” link.
- Placeholder elements: A drop-down list contains a set of elements used in the template.
- Example: To personalize the template and greet the client, insert the “client name” placeholder from the drop-down menu at the beginning of the template (e.g., Hello {%client_name%}).
- Message: Write your message content to the client, using the placeholders to customize it.
- Type: Choose from the drop-down menu whether it’s (Paid Invoice, Unpaid Invoice, Booking, etc.).
- Click the “Save” button.
- The new template will appear on the “Email Templates” page at the bottom of the list and under the “Custom” tab.
