Aged Debtors (Ledger)

Report Overview

The Aged Debtors Report (General Ledger) is an accounting report that displays outstanding customer balances categorized by debt age and linked to each customer’s general ledger account number.

Unlike the standard aging report, this report connects each customer to their GL account and includes all outstanding balances. not just invoices. making it easier to reconcile customer records with accounting entries.

This report is used to review receivables from an accounting perspective, track overdue balances, and analyze customer debts across customizable aging periods.

How to Access the Report

  1. Go to the Reports menu.
  2. Click on Customer Reports or Sales Reports.
  3. Select Aged Debtors (General Ledger).

You can apply the following filters before displaying the report:

  • To Date: Select the date up to which receivables aging is calculated.
    If left empty, the system will use the current date by default.
  • Period (Days): Define the number of days for each aging bucket.
    The default value is 30 days, and it can be adjusted between 1 and 90 days.
    For example, if set to 30 days, the buckets will be: Current, 1–30, 31–60, 61–90, 91–120, 120+ days.
  • Client: Select one or more customers to view their balances only (search by name, email, or phone number).
    If not selected, all customers will be included.
  • Client Category: Filter results to display customers of a specific category only.
    If not selected, all categories will be included.
  • Branch: Select one or more branches to view receivables for those branches only.
    If not selected, all branches will be included.

After adjusting the filters, click Show Report to update the results, or click Clear Filters to reset to default settings.

You can switch between:

  • Summary View: Displays totals per customer only.
  • Detailed View: Displays each invoice within the customer group.

You can print the report using Print, or export it via Export to:

Report Columns

  • Client Number: The unique identifier of the customer in the system, with a direct link to the full profile.
  • Account Number: The customer’s general ledger account number.
  • Name: The customer or company name, with a direct link to the customer profile.
  • Branch: The branch associated with the customer.
  • Today: Amounts that are not yet due.
  • 1 – 30 Days: Amounts overdue by 1 to 30 days.
  • 31 – 60 Days: Amounts overdue by 31 to 60 days.
  • 61 – 90 Days: Amounts overdue by 61 to 90 days.
  • 91 – 120 Days: Amounts overdue by 91 to 120 days.
  • 120+ Days: Amounts overdue by more than 120 days.
  • Total: The total outstanding balance across all aging buckets.

At the end of the table, a Subtotal Row summarizes balances for all customers per aging bucket, followed by a Grand Total Row showing the overall total receivables.
