Stocktaking Sheet Report

Overview

The Stock Count Sheet is a practical tool used to perform physical inventory counting. It displays a complete list of all products recorded in the system along with their quantities based on system records. It also provides empty fields for the inventory team to enter the actual counted quantities and any related remarks.

This sheet helps compare actual stock against system data, making it easier to detect discrepancies, shortages, or inconsistencies.

Steps to View the Stocktaking Sheet

  1. Go to the Reports menu.
  2. Select Store Reports.
  3. Click on Stocktaking Sheet.

Before displaying the sheet, you can customize the results using the following filters:

  • Group By: Choose how to organize the product list.

    • No Grouping

    • Category

    • Brand

  • Order By: Choose how to sort the products.

    • Product Name

    • Stock Level Ascending

    • Stock Level Descending

  • Category: Filter results to display products from a specific category only.

    • If not selected, all categories will be included.

  • Brand: Filter results to display products from a specific brand only.

    • If not selected, all brands will be included.

  • Warehouse: Select a specific warehouse to view its product balances.

    • The default option All Permitted shows only warehouses accessible to the current user.

  • Hide Zero Values: Enable this option to exclude products with zero stock from the sheet.

    • If disabled, all products will appear, including those with zero quantity.

  • Total Count: Enable this option to display the total quantity of all listed products at the bottom of the table.

After setting the filters, click View Sheet to display the results.

You can also click on any column header to sort the data in ascending or descending order.

You can:

  • Click Print to print the sheet

  • Or use Export Options to download the sheet in the following formats:

    • CSV

    • Excel

    • PDF, includes any manually entered quantities and remarks

Sheet Columns

The Stock Count Sheet displays a list of all products along with their current system quantities and fields for recording physical count results. The columns are organized as follows:

  • Code: The unique identifier assigned to each product in the system.

  • Name: The product name as recorded in the system.

  • Barcode: The barcode associated with the product, used to facilitate scanning during the stock count process.

  • Category: The category under which the product is classified.

  • Software Count: The quantity recorded in the system, including the unit of measurement. This value may appear negative if there are discrepancies in inventory records.

  • Quantity: A blank field used by the inventory team to enter the actual counted quantity during the physical stock count.

  • Remarks: A field used to record any notes or observations related to the product during counting.

When the Total Count option is enabled, a total row appears at the bottom of the table, showing the sum of quantities for all displayed products.
