Sales Report – Filter by Sales Representative

Enabling the Report

This report is a custom report and must first be enabled from the “External Apps Manager

  1. From the main menu click on “Settings
  2. Click “Apps Manager“.
  3. Click on “Manage External Apps” button.
  4. Search for the report and install it.

Steps to View Report

  1. Click on the “Reports” menus.
  2. Click “Sales Report“.
  3. From the “Sales Reports” page, Select “Sales Report – Filtered by Sale Representative
  4. Before viewing the report you can apply several filters:
    • From/To Date: Select the time period for which you want to display sales by manually entering the start and end dates in the designated fields.
    • Invoice Number: Enter a specific invoice number to filter the results and display its data only.
    • Employee: Select one or more employees to display only the invoices associated with them.
      • If no employee is selected, the system will display the report for all employees.
    • Salesperson Name: Select one or more salespersons to filter the results based on the salesperson assigned to the invoice.
      • If no salesperson is selected, the report will include all salespersons.
    • Client: Select one or more clients to display only their invoices. You an search by name, email, or phone number.
      • If no client is selected, the system will display the report for all clients.
    • Branch: Select one or more branches to display their sales only.
      • If no branch is selected, the system will display the report for all branches.
    • Group By: Select how the report data should be grouped. Available options includes: Monthly, Weekly, Yearly, Daily, or Branch.
    • Sort By: Select how the results should be ordered. Available options include: Date Descending, Date Ascending.
    • Currency: Select the currency in which the results should be displayed. Available option includes:
      • All to (SAR): Display all sales converted to Saudi Riyals.
      • Each Separately: Display sales grouped by the original currency of each invoice.
      • Or select a specific currency to display invoices issued in that currency only.
  5. After adjusting the filters, click “View Report” to update the results, or click “Clear Filter” to return to the default settings.
  6. You can switch between the “Summary” view to display totals for each period only, or the “Details” view to display each invoice separately.
  7. You can print the report using “Print” or export it from “Export” to:
    • CSV
    • Excel
    • PDF

Report Columns

The table displays invoice data grouped according to the selected time period (daily, weekly, monthly, yearly, or by branch). A group header appears at the beginning of each section indicating the relevant period or branch. When details view is selected, each invoice appears separately. The column are as follows:

  • Invoice Number: The unique identifier of the invoice in the system. Draft invoices appear in the format draft-XXXX
  • Client Name: The name of the client associated with the invoice.
  • Salesperson name: The name of the salesperson assigned to the invoice.
  • Date: The date the invoice was issued.
  • Employee: The name of the employee who created the invoice.
  • Branch: The branch from which the invoice was issued.
  • Paid: The amount that has actually been collected from the invoice. Negative values appear in a highlighted color for returned invoices or credit notes.
  • Unpaid: The remaining unpaid amount of the invoice. Negative values appear in a highlighted color for negative values.
  • Returned: The refunded amount associated with the invoice.
  • Total: The total value of the invoice (Paid + Unpaid + Returned) Negative values appear in a highlighted color for invoices with negative values.

At the bottom of each group, a subtotal row appears summarizing the total paid, unpaid, returned, and total amounts for that period. At the bottom of the table, a grand total row aggregates the data for all periods within the selected date range.
