View Assets Report

Report Overview

The Assets report displays detailed information about fixed assets recorded in the system, including purchase values, additions, deductions, periodic and accumulated depreciation, and the current book value of each asset.
This report is used to monitor asset status, track depreciation over time, and verify current asset values compared to their original purchase cost within a specified period.

Steps to View Report

  1. From the main menu click “Reports“.
  2. Click on “Accounting Reports“.
  3. Select “Assets Report“.
  4. You can apply several filters before viewing the report:
    • Name: Select a specific asset to display only its data (search by name or code).
      • If no asset is selected the system will display the report for all assets.
    • Employee: Select a specific employee to view assets assigned to them (search by name or code).
      • If no specific employee is selected, the report will include all employees.
    • Purchase Date From / To: Specify a date range to filter assets based on their purchase date.
    • Depreciation Date From / To: Define the period for calculating periodic depreciation.
    • Status: Filter assets based on their current statuses.
      • All: Display all assets regardless of status.
      • In Service: Active assets currently in use.
      • Inactive: Assets no longer in use.
      • Fully Depreciated: Assets that have reached the end of their useful life.
      • Sold: Assets that have been disposed of through sales.
    • Category: Filter assets by category (search by name).
      • Available Categories Include: Furniture, Equipment & Machinery, Vehicle, Building, Land.
      • If no category is selected the system will include all categories in the report.
    • Branch: Select one or more branches to view their assets only.
      • If no branch is selected the system will display all branches in the report.
    • Currency: Choose the currency for displaying results.
      • All in (SAR): Display all assets converted to Saudi Riyal.
      • All (each currency separately): Display each currency in a separate table.
      • Or select a specific currency such as SAR.
  5. After adjusting the filters, click “View Report” to update the results, or click “Clear Filter” to reset to default settings.
  6. You can switch between “Summary” view shows total per group only, or “Detailed” view displays individual asset data.
  7. You can change the grouping method from the “Group By” dropdown above the table. Available options: All, Status, Service Start Date, Purchase Date, Branch.
  8. You can print the report via “Print” or export it using “Export” to:
    • CSV
    • Excel
    • PDF

Report Columns

The table display details for each fixed asset recorded in the system, columns are as follows:

  • Code: Unique asset identifier in the system.
  • Name: Asset name as recorded.
  • Branch: The branch the asset belongs to.
  • Category: Asset category (e.g., Vehicles, Furniture, Equipment).
  • Quantity: Number of asset units recorded.
  • Employee: The employee responsible for or assigned to the asset.
  • Service Start Date: The date the asset began actual use.
  • Purchase Date: The date the asset was acquired.
  • Purchase Value: The original purchase cost of the asset in the selected currency.
  • Additions: Any capital additions or improvements made after purchase.
  • Discounts: Any reductions or disposals affecting the asset value.
  • Current Value Before Depreciation: Total value after additions and deductions, before depreciation.
  • Depreciation Balance Before: Accumulated depreciation up to the beginning of the selected period.
  • Periodic Depreciation: Depreciation calculated during the selected period.
  • Total Depreciations: Sum of previous depreciation and periodic depreciation.
  • Asset Value Until its Date: Net book value after deducting total depreciation.
  • Useful Life: Asset’s useful life in months as defined during setup.
  • Estimated Useful Life Date: The expected date when the asset’s useful life ends.
  • Status: Current asset status (In Service, Inactive, Fully Depreciated, Sold).

At the end of each group, a Total row summarizes the financial values for all assets within that group. At the bottom of the table, a subtotal row aggregates data for all assets across the entire selected period.
