Customer Appointments Report
Report Overview
The Customer Appointments Report displays all scheduled appointments and actions with customers over a selected period. It includes details such as date, time, related action, status, and the assigned employee.
This report is used to track customer appointments, review completed or pending actions, and analyze team performance in managing and executing appointments.
How to Access the Report
- Go to the Reports menu.
- Click on Client’s Reports.
- Select Client’s Appointments Report.
- You can apply the following filters before displaying the report:
- Client: Select one or more customers to view their appointments only (search by name, email, or phone number).
- If not selected, all customers will be included.
- Action: Filter appointments by the associated action type.
- If not selected, all actions will be included.
- Status: Filter appointments based on their current status:
- Scheduled: Appointments that are planned but not yet completed.
- Completed: Appointments that have been carried out.
- Cancelled: Appointments that were dismissed or ignored.
- Employee: Select one or more employees to view their assigned appointments (search by name, code, email, department, branch, or country).
- If not selected, all employees will be included.
- Created By: Filter appointments based on the user who created them.
- If not selected, appointments created by all users will be included.
- Date Range (From – To): Select the time period for which you want to view appointments.
- Show Details: Enable this option to display additional customer details such as address, phone number, and category.
- Customer Category: Filter appointments to display customers of a specific category only.
- If not selected, all categories will be included.
- Branch: Select a specific branch to view its appointments only.
- If not selected, all branches will be included.
After adjusting the filters, click Show Report to update the results, or click Clear Filters to reset to default settings.
You can switch between:
- Summary View: Displays appointment totals only.
- Detailed View: Displays each appointment individually.
You can print the report using Print, or export it via Export to:
- CSV
- Excel
Report Columns
The table displays one row per appointment recorded in the system. Columns are organized as follows:
- Client Name: The name of the customer linked to the appointment, with a direct link to the customer profile.
- Date: The scheduled appointment date.
- Start Time: The appointment start time.
- End Time: The appointment end time.
- Action: The type of action associated with the appointment. This field may be empty if no action is specified.
- Status: The current status of the appointment (Scheduled, Completed, or Cancelled).
- Assigned Staff: The code and name of the assigned employee(s). Multiple employees may appear if the appointment is assigned to a team.
- Notes: Any additional notes or details entered when creating the appointment.
- Branch: The branch associated with the appointment.
