Aged Debtors Report (Invoices)
Report Overview
The Aged Debtors Report (Invoices) displays outstanding customer invoices categorized by the age of the debt, meaning the time elapsed since each invoice’s due date. The report is divided into time intervals starting from not-yet-due amounts up to debts exceeding 120 days.
This report is used to monitor receivables collection, identify overdue customers, and take appropriate actions to manage cash flow.
How to Access the Report
- Go to the Reports menu.
- Click on Client Reports.
- Select Aged Debtors (Invoices).
- You can apply the following filters before displaying the report:
- Date Range (From – To): Select the period for which you want to view receivables aging.
- Last Week
- Last Month
- Month to Date
- Last Year
- Year to Date
- Custom
- Client: Select a specific customer to view their receivables only.
If not selected, all customers will be included. - Client Category: Filter results to display customers of a specific category only.
If not selected, all categories will be included. - Branch: Select one or more branches to view receivables for those branches only.
If not selected, all branches will be included. - Salesperson: Select one or more employees to view receivables for customers assigned to them.
If not selected, all employees will be included. - Hide Zero Balances: Enable this option to hide customers with no outstanding balances.
After adjusting the filters, click Show Report to update the results.
A chart is displayed at the top of the page showing the distribution of total receivables across different aging buckets.
You can print the report using Print, or export it via Export Options to:

PDF (Without Chart) - Date Range (From – To): Select the period for which you want to view receivables aging.
Report Columns
The table displays one row per customer showing the distribution of outstanding balances across time intervals. Columns are organized as follows:
- Client: The customer name as recorded in the system.
- Today: Amounts that are not yet due.
- 1 – 30 Days: Amounts overdue by 1 to 30 days.
- 31 – 60 Days: Amounts overdue by 31 to 60 days.
- 61 – 90 Days: Amounts overdue by 61 to 90 days.
- 91 – 120 Days: Amounts overdue by 91 to 120 days.
- 120+ Days: Amounts overdue by more than 120 days.
- Total: The total outstanding balance for the customer across all aging buckets.
At the bottom of the table, a Grand Total Row summarizes all customers’ balances for each aging bucket, along with the overall total receivables.
