AI Session Management
The system creates an independent processing session each time you upload expense files for AI processing. If you close the screen before reviewing all the files, the session is automatically saved so you can resume it later without losing any file that has already been processed. This guide explains how sessions work and how to manage them.
How a Session Is Created
- Click on “Scan Expenses Using AI“.
- Upload one or more expense files.
- AI processing starts automatically, and a new processing session is created for these files.
- The system processes the files and continuously updates their status (Pending, Processing, Ready for Review, Completed, Failed).
Closing the Screen Before Completing the Review
If you review only some of the files and leave the rest incomplete, then close the “Expense Processing” screen:
- The system displays a confirmation message before closing the session.
- Upon confirmation:
- The entire session is saved.
- All files (whether completed or remaining) remain saved as they are.
Resuming a Saved Session Later
When you click on “Scan Expenses Using AI” again:
- If there is a previously saved open session, the system offers you the option to resume it.
- If you choose to resume, the previous session opens with its full saved state — all files are restored to their last known status, and you can continue reviewing them normally.
- If you choose to upload different files instead of resuming the existing session, a new independent session is created, while the previous session remains saved (as long as the maximum allowed number of sessions has not been exceeded).
Maximum Number of Sessions
You can have up to 5 active (open) sessions at the same time. Each session in the list displays:
- Session name or ID.
- Creation date.
- Progress indicator (e.g., “3 of 6 completed”).
If you reach the maximum allowed limit (5 sessions), the system prevents you from creating a new session and displays a message explaining this limit. In this case, you must either:
- Resume one of the existing open sessions, or
- Delete one of the existing sessions to free up space for a new one.
Deleting a Session Manually
You can manually delete any open session at any time:
- Select the session you want to delete.
- Click the delete option.
- A confirmation message appears before the deletion is finalized.
Note: When a session is deleted, all its files are permanently lost — whether they were already processed or not — and no expense will be created from that deleted session.
Automatic Session Expiry
Any session automatically expires after 30 days of inactivity:
- Before expiry, if you attempt to resume a session that is nearing expiration, a warning message appears.
- Once expiry actually occurs, the session is automatically deleted, and you must start a new session from scratch.
Automatic Session Closure Upon Completion
A session is automatically closed and removed from the active sessions list once all its files have been reviewed and saved successfully. After this automatic closure:
- The session no longer appears in the active sessions list.
- The completed expenses resulting from it remain saved in the system normally, like any other expense.
Notes
- The progress indicator shown next to each session lets you know how many files remain for review without needing to open it.
- Regularly resuming or deleting old sessions helps you avoid reaching the maximum allowed limit of open sessions.
