Delete an Expense

This feature allows the mobile app user to permanently delete an expense from the system, to remove incorrect or unnecessary records. The deletion process is final and cannot be undone, and it directly affects the related journal accounts and treasuries.

Before You Begin

  • The user must have the “Edit & Delete All Expenses” or “Edit & Delete His Own (Created) Expenses” permission.

Steps to Delete an Expense

  1. An expense can be deleted in two ways:
    • First Method — From the Expenses List:
      • From the “Expenses” screen, tap the “More” icon (…) for the expense you want to delete.
      • Select “Delete” from the bottom sheet.
    • Second Method — From the Expense Details Screen:
      • Open the required expense from the expenses list.
      • Tap the “More” icon (…) at the top of the expense details screen.
      • Select “Delete” from the bottom sheet.
  2. A confirmation bottom sheet appears titled “Delete Expense?”, containing the following message: “Are you sure you want to delete Expense #[Expense Number]? This action cannot be undone and will be reflected in the journal accounts and treasury.”
  3. Tap “Delete” to confirm the permanent deletion, or tap “Cancel” to back out of the operation.

How the System Works

  • Once “Delete” is tapped, the expense’s data is deleted immediately and permanently from the system.
  • The journal accounts and treasury balances linked to the deleted expense are automatically updated as soon as the deletion is confirmed.
  • The deleted expense disappears immediately from the expenses list, without needing to manually reload the screen.
  • When “Cancel” is tapped, the confirmation window closes without executing any deletion, and the expense remains unchanged.

Notes

  • The deletion process is final and cannot be undone; it is recommended to be fully certain before proceeding with the deletion, especially since the effect is directly reflected in the journal accounts and related treasury balances.
