Settlement types help categorize settlements based on their purpose.<\/p>\n

  1. From the main menu, go to “Finance<\/strong>“.<\/li>\n
  2. Open “Finance Settings<\/strong>“.<\/li>\n
  3. Open the “Settlement Types<\/strong>” card.<\/li>\n
  4. Click “Add Settlement Type<\/strong>“.<\/li>\n
  5. Enter the “Settlement type name<\/strong>“. (Required)<\/li>\n
  6. Enter a “Description<\/strong>” if needed. (Optional)<\/li>\n
  7. Make sure the status is set to “Active<\/strong>” so it appears in settlement dropdown lists.<\/li>\n
  8. Click “Save<\/strong>“.<\/li>\n<\/ol>\n

    3. Enter the custody details:

        \n
      • Employee:<\/strong> Select the employee assigned to the custody.<\/li>\n
      • Custody Code:<\/strong> Automatically generated by the system.<\/li>\n
      • Date:<\/strong> Select the custody date.<\/li>\n
      • Settlement Due Date:<\/strong> Select the due date for settlement.<\/li>\n
      • Amount:<\/strong> Enter the custody amount.<\/li>\n<\/ul>\n<\/li>\n
      • Financial Transaction Details\n
          \n
        • Employee Custody Account:<\/strong> Select the account carrying the custody balance.<\/li>\n
        • Cash \/ Bank Account:<\/strong> Select the main account used to disburse the custody amount.<\/li>\n
        • Payment Method:<\/strong> Select the payment method used for the transaction.<\/li>\n<\/ul>\n<\/li>\n
        • Additional Information\n

          • Description:<\/strong> Enter the purpose or details of the custody.<\/li>\n<\/ul>\n<\/li>\n
          • Click “Save<\/strong>“.<\/li>\n<\/ol>\n

            1. Open the required custody from the “Employee Custodies<\/strong>” list.<\/li>\n
            2. Click “Add Settlement<\/strong>” from the actions menu at the top.<\/li>\n
            3. The screen allows adding multiple settlement lines before saving. For each settlement line, enter the following:\n
                \n
              • Number:<\/strong> Automatically generated settlement number. (Required)<\/li>\n
              • Date:<\/strong> Select the settlement date. (Required)<\/li>\n
              • Type:<\/strong> Select the settlement type from the dropdown list. (Required)<\/li>\n
              • Account:<\/strong> Select the debit account from the chart of accounts. (Required)<\/li>\n
              • Description:<\/strong> Enter notes or additional details. (Optional)<\/li>\n
              • Attachments:<\/strong> Upload supporting documents. (Optional)<\/li>\n
              • Amount:<\/strong> Enter the settlement amount. Must be greater than zero. (Required)<\/li>\n<\/ul>\n<\/li>\n
              • Managing Settlement Lines<\/strong>\n
                  \n
                • Click “Add Line<\/strong>” to insert a new settlement line.<\/li>\n
                • Click the delete icon next to any line to remove it before saving.<\/li>\n
                • Multiple lines can be selected and deleted using bulk delete.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n

                  After entering all settlement lines:<\/p>\n

                  Click “Save<\/strong>” to record the settlements.

                  1. From the custody view page, click on the custody status.<\/li>\n
                  2. Select “Close<\/strong>“.<\/li>\n
                  3. A confirmation message will appear: \u201cAre you sure you want to close this employee custody?<\/strong>\u201d<\/li>\n
                  4. Click “Confirm<\/strong>“.<\/li>\n<\/ol>\n

                    2. A confirmation message will appear: \u201cAre you sure you want to cancel the closed status?<\/strong>” The custody will return to its previous status.\u201d<\/li>\n
                    3. Click “Confirm<\/strong>“.<\/li>\n<\/ol>\n

                      If it was Settled, it returns to Settled.

                      1. Open the custody page. Click on the custody “Status” then select “Bad Debt”.<\/li>\n
                      2. A confirmation message will appear: \u201cAre you sure you want to record this custody as bad debt<\/strong>?\u201d<\/li>\n
                      3. Click “Confirm<\/strong>“.<\/li>\n<\/ol>\n

                        1. Open the custody marked as bad debt. Click on the custody “Status” then select “Reopen” .<\/li>\n
                        2. A confirmation message will appear: \u201cAre you sure you want to cancel the bad debt status? The remaining balance will be restored to the employee custody account.<\/strong>\u201d<\/li>\n
                        3. Click “Confirm<\/strong>“.<\/li>\n<\/ol>\n
