An electronic scale<\/strong> prints a barcode label on each weighed product (such as vegetables, meat and sweets). The barcode contains the product code and its weight, and sometimes its price. When you turn on Weight Embedded Barcode<\/strong> in the system, the system reads this barcode when it’s scanned in an invoice or the point of sale, identifies the product, and puts the weight in the quantity automatically. This guide explains how the scale barcode works, how to set it up, how to prepare products, and how to use it.<\/p>\n

    How does the scale barcode work?<\/h2>\n

    The scale label is a number divided into fixed-length parts, such as:<\/p>\n\n\n\n\n\n\n\n
    Part<\/th>\nSymbol in the format<\/th>\nMeaning<\/th>\n<\/tr>\n
    Product code<\/td>\nX<\/strong><\/td>\nMust match the product’s Barcode<\/strong> in the system.<\/td>\n<\/tr>\n
    Weight<\/td>\nW<\/strong><\/td>\nThe weight of the item (usually in grams).<\/td>\n<\/tr>\n
    Price<\/td>\nP<\/strong><\/td>\nThe price of the item.<\/td>\n<\/tr>\n
    Other digits<\/td>\nN<\/strong><\/td>\nDigits the system ignores, such as the check digit at the end of the barcode.<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n

    When scanned: the system first searches for a product whose barcode matches the full number. If none is found, and the number’s length equals the format’s length, it splits the number according to the format, searches for the product by the X<\/strong> part, then puts the weight in the quantity.<\/p>\n

    Setting up the scale barcode<\/h2>\n
      \n
    1. From the main menu, click Inventory<\/strong> \u203a Inventory & Products Settings<\/strong><\/a> \u203a Barcode Settings<\/strong><\/a>.<\/li>\n
    2. In Barcode Configuration<\/strong>, turn on Weight Embedded Barcode<\/strong>. The following setup fields appear.<\/li>\n
    3. Enter the Embedded Barcode Format<\/strong> (see the next section).<\/li>\n
    4. Enter the Weight Unit Divider<\/strong> and Currency Divider<\/strong>.<\/li>\n
    5. Choose the Scale Barcode Scan Behavior<\/strong>.<\/li>\n
    6. Click Save<\/strong>. The message Products settings have been saved<\/strong> appears.<\/li>\n<\/ol>\n

      Note:<\/strong> The same page has the Barcode Type<\/strong> (Code 128 or EAN 13) for regular product barcodes. It has nothing to do with the scale barcode format.<\/p>\n<\/div>\n

      Writing the barcode format<\/h2>\n

      In Embedded Barcode Format<\/strong>, write one letter for each digit in the scale label, in the same order and with the same number of digits as the label, using X, W, P and N. The format’s length must exactly equal the length of the printed barcode<\/strong>.<\/p>\n\n\n\n\n\n\n

      Tip:<\/strong> The easiest way to find the format is to check the scale’s label settings or manual, or print a label for a product with a known weight and compare its digits. For example, with a 4-digit weight, 250 grams appears as 0250; with 5 digits, it appears as 00250.<\/p>\n<\/div>\n

      Important:<\/strong> Enter numbers only in these two fields; the system doesn’t validate the values when saving. If you leave Weight Unit Divider<\/strong> empty, the weight isn’t divided, so the quantity shows in grams (for example, 1234 instead of 1.234).<\/p>\n<\/div>\n

      Preparing the products<\/h2>\n
        \n
      1. Open the product (or add a New Product<\/strong><\/a>).<\/li>\n
      2. In the Barcode<\/strong> field, enter the product code exactly as the scale prints it<\/strong> in the X digits, with the same number of digits, zeros and prefix (such as 2101234). The search doesn’t use the product code (SKU) or unit barcodes.<\/li>\n
      3. Enter the Selling Price<\/strong> for the selling unit (such as the price per kilogram).<\/li>\n
      4. Save the product.<\/li>\n<\/ol>\n

        Note:<\/strong> The product’s barcode must exactly match the X digits in the label. If the scale prints the prefix 21 before the product code and it’s part of the X digits, enter it in the product’s barcode too.<\/p>\n<\/div>\n

        Barcode reading examples<\/h2>\n

        Example 1: Weight only<\/h3>\n
          \n
        • Format: XXXXXXXWWWWWN<\/strong>, and Weight Unit Divider<\/strong> = 1000.<\/li>\n
        • Scanned barcode: 2101234012345<\/strong>.<\/li>\n
        • Product code = 2101234, weight = 01234 \u00f7 1000 = 1.234 kg<\/strong>, and the last digit is ignored.<\/li>\n
        • Result: the product with barcode 2101234 is added with a quantity of 1.234, at its recorded selling price.<\/li>\n<\/ul>\n

          Example 2: Weight and price, and the product has no selling price<\/h3>\n
            \n
          • Format: XXXXXXWWWWPPPPN<\/strong>, Weight Unit Divider<\/strong> = 1000, and Currency Divider<\/strong> = 100.<\/li>\n
          • Barcode: 123456025001250<\/strong> \u2192 weight 0.25 kg, and price 12.50.<\/li>\n
          • Result: quantity 0.25, and unit price = 12.50 \u00f7 0.25 = 50 per kilogram<\/strong>.<\/li>\n<\/ul>\n

            Example 3: Price only<\/h3>\n
              \n
            • A product priced at 10 per kilogram, and the label carries the price 15 (with no weight).<\/li>\n
            • Result: quantity = 15 \u00f7 10 = 1.5<\/strong>, and the price is 10.<\/li>\n<\/ul>\n

              Note:<\/strong> If the label carries both the weight and the price, and the product has a recorded selling price, the system uses the product’s recorded price<\/strong> and ignores the printed price. The printed price is only used if the product’s selling price is empty.<\/p>\n<\/div>\n

              Scale Barcode Scan Behavior<\/h2>\n\n\n\n\n\n
              Option<\/th>\nWhat happens when the same product is scanned more than once<\/th>\n<\/tr>\n
              Merge into Existing Line<\/strong> (the default)<\/td>\nThe new item’s weight is added to the quantity of the existing line.<\/td>\n<\/tr>\n
              Add as Separate Line<\/strong><\/td>\nEach scan creates a new line, so you can review the weight of each item separately.<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n

              Note:<\/strong> This option only appears after you turn on Weight Embedded Barcode<\/strong>. It applies to sales invoices; in purchase invoices, purchase quotations, stock requisitions, work orders and the point of sale, scans are always merged.<\/p>\n<\/div>\n

                Troubleshooting<\/h2>\n\n\n\n\n\n\n\n\n\n

                Nothing happens when scanning in the invoice<\/td>\nThe barcode’s length doesn’t equal the format’s length, the X part doesn’t match any product’s barcode, or more than one product matches.<\/td>\nCheck the format and its length, and the product’s barcode with its zeros and prefix.<\/td>\n<\/tr>\n
                The message Product Not Found<\/strong> appeared (point of sale)<\/td>\nThe same causes as above.<\/td>\nThe same solution.<\/td>\n<\/tr>\n
                The quantity showed 1234 instead of 1.234<\/td>\nWeight Unit Divider<\/strong> is empty or 1.<\/td>\nEnter 1000.<\/td>\n<\/tr>\n
                A different product appeared<\/td>\nThe full barcode number matches part of another product’s barcode or code, so the regular search is used before the scale search.<\/td>\nMake regular product barcodes different from the scale barcode range.<\/td>\n<\/tr>\n
                The price printed on the label wasn’t used<\/td>\nThe product has a recorded selling price.<\/td>\nLeave the product’s selling price empty if you want to rely on the label’s price.<\/td>\n<\/tr>\n
                The scan behavior option doesn’t appear<\/td>\nWeight Embedded Barcode<\/strong> isn’t turned on.<\/td>\nTurn it on, and the fields appear immediately.<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n

                FAQs<\/h2>\n

                Can I use an electronic scale with the system?<\/h3>\n

                Yes, by reading the barcode label the scale prints, after setting the Embedded Barcode Format<\/strong>. There’s no direct connection to the scale itself; the connection works through the barcode.<\/p>\n

                Can I use more than one format?<\/h3>\n

                The system uses the format that matches the length of the scanned barcode, so the scale labels must have a fixed length that matches the format.<\/p>\n

                In which unit do I sell the weighed product?<\/h3>\n
