When collected, it&#8217;s <strong style=\"color: #111827;\">a liability owed by you, not revenue you&#8217;ve earned<\/strong>, and it only becomes revenue to the extent you actually deliver each month. That&#8217;s why it&#8217;s recorded in two stages: collecting the full amount into a liability account, then a monthly journal entry that transfers the earned portion into revenue.<\/p>\n<h2 style=\"font-size: 22px; font-weight: bold; color: #111827; margin: 32px 0 14px; padding-bottom: 8px; border-bottom: 2px solid #eef0f3;\">Preparing the Accounts Before You Start<\/h2>\n<p style=\"margin: 0 0 14px; line-height: 1.9; font-size: 16px; color: #1f2430;\">You need two accounts in the chart of accounts:<\/p>\n<ul style=\"margin: 0 0 16px; padding-left: 26px;\">\n<li style=\"margin-bottom: 10px; line-height: 1.9; font-size: 16px; color: #1f2430;\"><strong style=\"color: #111827;\">Deferred Revenue<\/strong>: an account under <strong style=\"color: #111827;\">Liabilities<\/strong>, holding the collected amount not yet earned.<\/li>\n<li style=\"margin-bottom: 10px; line-height: 1.9; font-size: 16px; color: #1f2430;\"><strong style=\"color: #111827;\">Revenue Account<\/strong>: under Revenue, to which the earned portion is transferred month after month.<\/li>\n<\/ul>\n<h2 style=\"font-size: 22px; font-weight: bold; color: #111827; margin: 32px 0 14px; padding-bottom: 8px; border-bottom: 2px solid #eef0f3;\">Step One: Recording the Collection<\/h2>\n<p style=\"margin: 0 0 14px; line-height: 1.9; font-size: 16px; color: #1f2430;\">You have two ways to record the collection, with the same accounting result:<\/p>\n<ul style=\"margin: 0 0 16px; padding-left: 26px;\">\n<li style=\"margin-bottom: 10px; line-height: 1.9; font-size: 16px; color: #1f2430;\"><strong style=\"color: #111827;\">Via a receipt<\/strong>: record a receipt for the amount and select the <strong style=\"color: #111827;\">Deferred Revenue<\/strong> account through the sub-account field, and the system generates its journal entry automatically. Open the entry from its view screen and click <strong style=\"color: #111827;\">Make Recurring<\/strong>, then specify the recurrence start date, its cycle (daily, weekly, monthly, or yearly), and its end date \u2014 the system will then generate the entry automatically each cycle until the period ends. If the value differs from month to month, record the entries manually as explained in the next section.<\/p>\n<\/div>\n<h2 style=\"font-size: 22px; font-weight: bold; color: #111827; margin: 32px 0 14px; padding-bottom: 8px; border-bottom: 2px solid #eef0f3;\">If the Recognized Value Differs from Month to Month<\/h2>\n<p style=\"margin: 0 0 14px; line-height: 1.9; font-size: 16px; color: #1f2430;\">The values don&#8217;t have to be equal, and the amount doesn&#8217;t have to be divided by the number of months. The rule is to recognize what was actually delivered each month, with the journal entry reflecting its real value rather than a calculated average. If that&#8217;s not possible, distribute the amount equally and make the last month a settlement month that absorbs the rounding difference and zeroes out the balance.<\/p>\n<h2 style=\"font-size: 22px; font-weight: bold; color: #111827; margin: 32px 0 14px; padding-bottom: 8px; border-bottom: 2px solid #eef0f3;\">Tracking the Remaining Balance<\/h2>\n<p style=\"margin: 0 0 14px; line-height: 1.9; font-size: 16px; color: #1f2430;\">Open the <strong style=\"color: #111827;\">General Ledger<\/strong> report and select the deferred revenue account and specify the period, to see the collection entry, the monthly recognition entries, and the balance after each movement.
