The system allows you to view all leave applications in a unified list, with search, filtering, and quick access to any application.<\/p>\n

Before You Begin<\/h2>\n
Make sure you have the permission to view leave applications in your assigned role.<\/div>\n

Steps to Access the List<\/h2>\n
    \n
  1. From the main menu, click on \u201cAttendance\u201d<\/strong>.<\/li>\n
  2. Click on \u201cLeave Applications\u201d<\/strong>.<\/li>\n
  3. A list of all leave applications appears, sorted from newest to oldest.<\/li>\n<\/ol>\n

    3.List Elements<\/h2>\n
    \n

    Each row in the list displays the following information:<\/p>\n

      \n
    • ID:<\/strong> The auto-generated sequential number of the application.<\/li>\n
    • Employee:<\/strong> The employee\u2019s name and staff code.<\/li>\n
    • Department:<\/strong> The department the employee belongs to.<\/li>\n
    • Type:<\/strong> The type of leave requested and the number of days.<\/li>\n
    • Creation Date:<\/strong> The date and time the application was submitted.<\/li>\n
    • Date:<\/strong> The start and end dates of the leave.<\/li>\n
    • Status:<\/strong> The current status \u2014 Pending Review, Approved, Rejected.<\/li>\n<\/ul>\n<\/div>\n

      Search & Filters<\/h2>\n
      \n

      Filters appear at the top of the list when you click \u201cSearch & Filters\u201d<\/strong>:<\/p>\n

        \n
      • Type:<\/strong> Filter by the nature of the request.<\/li>\n
      • Date From \/ Date To:<\/strong> Specify the leave date range.<\/li>\n
      • Leave Type:<\/strong> Filter by the type of leave requested.<\/li>\n
      • Status:<\/strong> Filter by application status.<\/li>\n
      • Approved\/Rejected By:<\/strong> Filter by the person who made the decision.<\/li>\n
      • Has Attachments:<\/strong> Enable this option to display only applications that include attachments.<\/li>\n<\/ul>\n

        After selecting your filters, click \u201cSearch\u201d<\/strong> to apply them, or click \u201cReset\u201d<\/strong> to clear all filters and return to the full view.<\/p>\n

        \n

        Note:<\/strong> Click \u201cAdvanced\u201d<\/strong> to access additional filters such as Department, Job Title, Employment Level, Employment Type, Branch, Shift, and Creation Date.<\/p>\n<\/blockquote>\n

        \n

        Note:<\/strong> The \u201cHas Attachments\u201d filter works alongside all other active filters and remains active across pagination and sorting until you click \u201cReset\u201d<\/strong> or navigate away from the page.<\/p>\n<\/blockquote>\n<\/div>\n

        Quick Status Filters<\/h2>\n
        \n

        Use the quick filter buttons at the top of the list to switch between:<\/p>\n

          \n
        • All:<\/strong> Display all leave applications.<\/li>\n
        • My Team:<\/strong> Display applications from your team members only.<\/li>\n
        • Pending on Me:<\/strong> Display applications awaiting your approval.<\/li>\n
        • Pending:<\/strong> Display applications currently under review.<\/li>\n
        • Approved:<\/strong> Display approved applications.<\/li>\n
        • Rejected:<\/strong> Display rejected applications.<\/li>\n<\/ul>\n<\/div>\n

          Sorting Results<\/h2>\n

          Click \u201cSort\u201d<\/strong> at the top of the list to sort by: Employee Code or Creation Date.<\/p>\n

          The Attachments Indicator<\/h2>\n
          \n

          A paperclip icon \ud83d\udcce appears on rows that contain attachments, along with a badge showing the number of attached files (e.g., \ud83d\udcce 3).<\/p>\n

          Hovering over the icon displays the following tooltip:
          \nHas {X} attachment(s) \u2014 Click to download<\/strong><\/p>\n

          \n

          Note:<\/strong> Rows with no attachments do not display the icon.<\/p>\n<\/blockquote>\n<\/div>\n

          \n

          Downloading Attachments<\/h4>\n

          You can download attachments for a leave application in two ways:<\/p>\n

            \n
          • Clicking the paperclip icon \ud83d\udcce<\/strong> directly in the row.<\/li>\n
          • Clicking \u201cDownload Attachments\u201d<\/strong> from the \u00b7\u00b7\u00b7<\/strong> action menu next to the application.<\/li>\n<\/ul>\n

            Download behavior:<\/strong><\/p>\n

              \n
            • Single file:<\/strong> The file downloads directly with its original name and extension.<\/li>\n
            • Multiple files:<\/strong> All files are compressed and downloaded as a ZIP archive named:
              \nLeave-{ApplicationID}-attachments-{YYYYMMDD}.zip<\/code><\/li>\n<\/ul>\n
              \n

              Note:<\/strong> If the total size of the attachments exceeds the allowed limit (200 MB), the download will not proceed and the following message will appear:
              \n\u201cAttachments are too large to download as one file. Open the application to download individually.\u201d<\/em><\/p>\n<\/blockquote>\n

              \n

              Note:<\/strong> If a row has no attachments, the Download button will be disabled and will display the tooltip: \u201cNo attachments available\u201d<\/em><\/p>\n<\/blockquote>\n

              \n

              Note:<\/strong> ZIP file preparation runs in the background and does not interrupt your work. A notification will appear once the download is ready.<\/p>\n<\/blockquote>\n<\/div>\n

              Available Actions per Application<\/h2>\n
              \n

              Click the \u00b7\u00b7\u00b7<\/strong> icon next to any application to access the following actions:<\/h4>\n
                \n
              • View:<\/strong> Open the application details page.<\/li>\n
              • Edit:<\/strong> Modify the application data.<\/li>\n
              • Download Attachments:<\/strong> Download the files attached to the application.<\/li>\n
              • Approve:<\/strong> Approve the application directly from the list.<\/li>\n
              • Reject:<\/strong> Reject the application directly from the list.<\/li>\n
              • Delete:<\/strong> Permanently delete the application.<\/li>\n<\/ul>\n<\/div>\n

                Bulk Actions<\/h2>\n

                You can select multiple applications at once using the checkboxes, then execute the following bulk actions from the \u201cActions\u201d<\/strong> menu:<\/p>\n

                  \n
                • Approve:<\/strong> Approve the selected applications in bulk.<\/li>\n
                • Reject:<\/strong> Reject the selected applications in bulk.<\/li>\n<\/ul>\n

                  To select all, click the checkbox at the top of the list and choose:<\/p>\n

                    \n
                  • All (Current Page):<\/strong> Select only the records on the current page.<\/li>\n
                  • All (All Pages):<\/strong> Select all records matching the active filters.<\/li>\n<\/ul>\n<\/div>\n

                    Permissions<\/h2>\n

                    • Any user with permission to view leave applications<\/strong> can also view the attachments indicator and download the attachments.<\/li>\n
                    • If you do not have the required permission, the following message will appear:
                      \n\u201cYou don\u2019t have permission to download these attachments.\u201d<\/em><\/li>\n<\/ul>\n

                        \n
                      • Clicking anywhere on an application row takes you to its details page.<\/li>\n
                      • A new leave application can be created directly from this page by clicking the \u201cAdd Leave Application\u201d<\/strong> button at the top of the screen.<\/li>\n
