Suspending and hiding are two ways to stop using an account in the Chart of Accounts<\/strong><\/a>. The main difference between them is that hiding is available only for accounts that have no transactions, while suspending can be used whether or not the account has transactions, and it prevents new transactions from being added to the account while keeping its previous transactions.<\/p>\n

Suspending vs. Hiding<\/h2>\n\n\n\n\n\n\n\n\n\n\n

An account that has transactions<\/td>\nCan be suspended.<\/td>\nCannot be hidden, and a message appears suggesting that you suspend it instead.<\/td>\n<\/tr>\n
Visibility in the Chart of Accounts<\/td>\nAppears as usual with a Suspended<\/strong> label.<\/td>\nAppears only when the Show Hidden<\/strong> option is enabled, with a Hidden<\/strong> label next to it.<\/td>\n<\/tr>\n
Account selection lists in add and edit forms<\/td>\nDoes not appear, so no new transactions can be added to it.<\/td>\nDoes not appear.<\/td>\n<\/tr>\n
Main account<\/td>\nCan be suspended after suspending all the accounts under it or moving them to another main account.<\/td>\nCan be hidden after hiding all the accounts under it.<\/td>\n<\/tr>\n
Excluded accounts<\/td>\nThe five top-level main accounts, the accounts created by the system, the accounts selected in Accounting Routing, and the accounts assigned as default accounts cannot be suspended.<\/td>\nAccounts that have transactions cannot be hidden.<\/td>\n<\/tr>\n
Undoing the action<\/td>\nThrough the Reactivate<\/strong> action.<\/td>\nThrough the Unhide<\/strong> action.<\/td>\n<\/tr>\n
Activity log<\/td>\nSuspending and reactivating are recorded.<\/td>\nHiding and unhiding are recorded.<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n

When to Use Each?<\/h2>\n

  • Use Hide<\/strong> for an account that you have not used in any transaction and do not need, so that it does not appear in the Chart of Accounts.<\/li>\n
